Boulder Valley Unitarian Universalist Fellowship (BVUUF) Rental Policy

Adopted by the BVUUF Board of Officers and Trustees on January 12, 2006

A. It is the policy of the Boulder Valley Unitarian Universalist Fellowship (doing business as the Boulder Valley Unitarian Universalist Fellowship), hereinafter referred to as the BVUUF, to make its building facilities available to members and other individuals and groups in the community that seek to serve and enrich human life through activities that are compatible with the Fellowship’s mission statement and other church policies. This Rental Policy provides the guidelines for use of the BVUUF’s property for purposes outside of BVUUF regular meetings and beyond the work of BVUUF committees. This policy is determined by the BVUUF’s Board of Officers and Trustees and may be reviewed and amended from time to time at the Board’s discretion.

B. Use of the BVUUF’s property shall require completion of a Property Lease Agreement and payment of a deposit and rent as specified in the Agreement prior to the property use. Rental fees shall be in accordance with the BVUUF Rental Fee Schedule. Rental fees may be adjusted if the individual is a BVUUF member for at least one year. The BVUUF minister must approve any request for a religious service to be performed by someone other than a BVUUF minister.

C. Responsibilities of Lessee and its designated agent (hereinafter referred to as Lessee):

CARE AND USE OF FACILITIES: The Lessee shall be named in the rental agreement and is responsible for leaving the premises and equipment in the same condition as at the beginning of the rental.

The Lessee, if representing a group that has insurance, agrees to provide evidence of insurance naming the Fellowship as an additional insured on their insurance policy.

All equipment and furniture must be returned to their original locations. Decorations or other materials may not be placed on the walls, windows or furnishings without the approval of the BVUUF’s designated agent. The Lessee should be cautious with food and beverages to avoid spills. The deposit will be forfeited up to the amount required to repair any damages. The Lessee will also be charged the designated amount for building and kitchen cleaning as listed in the Rental Fee Schedule to restore the premises to its original condition.

Candles may be used only with advance permission and only in fireproof containers. Any decorations used near candles must be fireproof. Protection must be used so as to prevent candle wax from spilling on carpets. Birdseed is the only allowable material that may be thrown at weddings and only outside.

Use of premises is restricted to those indoor and outdoor facilities and times specified in the Property Lease Agreement. The facilities MUST BE VACATED BY THE AGREED UPON TIME, or the Lessee will be required to pay the Late Fee listed in the Rental Fee Schedule.

Keys to the building will only be provided to church members. A church member will assist any individual or group not associated with the BVUUF in opening and closing the building.

PUBLICITY: The BVUUF name and/or telephone number are not to be used in any advertising or promotional literature for the Lessee’s event unless such use is approved in advance by the BVUUF’s designated agent.

EQUIPMENT USED: The Lessee may use the playground, the piano and audio-visual equipment only as specified in the Property Lease Agreement. An additional charge may be required for use of the piano and audio-visual equipment. Nothing may be placed on the piano except musical scores. The deposit will be forfeited up to the amount required to repair equipment or retune the piano due to misuse by the Lessee. Any damages exceeding the deposit shall be reimbursed by the Lessee including the cost of collection and attorney’s fees.

USE OF KITCHEN: If use of the kitchen is specified in the Property Lease Agreement, the Lessee may use all equipment and appliances in the kitchen. The Lessee is to bring his/her own food and beverages, including coffee, tea, sugar and cream. The Lessee is to supply his/her own tablecloths and napkins. The Lessee is to provide his/her own dishes. Dishes, disposable cups, etc. and utensils belonging to the BVUUF are not to be used by non-members. If the coffee pot or other appliance is used, it must be unplugged, washed and put away. All garbage is to be removed from the building, put in garbage bags and placed in the BVUUF dumpster. Any food placed in the refrigerator or freezer by the Lessee must be removed. All countertops and tables are to be cleaned, and spills are to be cleaned from the floor. The amount listed as the Kitchen Cleaning Fee in the Rental Fee Schedule will be withheld from the deposit if the kitchen is not restored to its original condition.

CHILDCARE: Children and youth under age 18 must be supervised by a responsible adult at all times. The BVUUF requires two supervisors for up to 9 children and one additional supervisor for every additional 9 children.

ALCOHOLIC BEVERAGES: The use of alcoholic beverages or any other controlled substance is prohibited in the UUF building or on the grounds during rentals.

SMOKING POLICY: Smoking is not permitted in the building or on the grounds of the UUF site.

ANIMALS: Animals are not permitted in the building, except for those used to assist the disabled. Control of animals on the Fellowship grounds must be consistent with the regulations of the City of Lafayette.

NOISE: Noise must be kept within limits at all times so as not to disturb neighbors.

EMERGENCIES: The Lessee is responsible for reporting all emergencies as per the instructions provided by the UUF’s designated agent.

SATURDAY RENTALS: The Lessee must vacate the premises by 6:00 p.m. on Saturday unless special arrangements are made for cleanup and set-up for the Fellowship’s Sunday morning services.

RECYCLING IS ENCOURAGED. Containers for recyclable materials are provided. Use of recyclable materials and the appropriate containers provided are strongly recommended.
